How to reduce no-shows in your salon or barbershop
A no-show is an hour you can no longer sell. In a salon with three professionals, two or three absences a week easily add up to several hundred euros a month. The good news is that most no-shows are not bad faith: they are forgotten appointments, changed plans nobody mentioned and “just in case” bookings. All of that can be reduced with process and tools.
1. Automatic reminders, at two moments
The day-before reminder leaves room to cancel and re-book the slot; the same-day one (2–3 hours before) prevents last-minute forgetting. Enable both. In Belleceo they are automatic by email and push notification, and you choose the lead time of the same-day reminder.
2. Confirm new appointments
A “pending” booking that you confirm sends a message: someone is expecting you. Confirming also helps spot dubious bookings (impossible times, clients booking three slots on the same day).
3. A clear, visible cancellation policy
Set a minimum cancellation notice (12 or 24 hours, say) and show it at booking time. Belleceo lets you set that notice per business and blocks late cancellations from the client app, so the client has to contact you instead.
4. Make cancelling and rescheduling easy
It sounds contradictory, but the easier it is to cancel, the fewer people simply do not show up. A direct link to the appointment and a chat with the business solve most cases with one message.
5. Handle repeat offenders
Track no-shows per client (Belleceo shows them on the client record and in statistics). For repeat offenders, ask for confirmation via chat the day before or limit their bookings to low-demand hours. If they have recurring appointments, Belleceo pauses the series automatically after two consecutive absences.
6. Reward consistency
A simple loyalty programme (every X completed appointments, a discount) changes the mental frame: every appointment counts towards something. Only completed appointments count, so it also nudges people to show up.
7. Fill gaps fast
When someone cancels, your booking link and your social channels are the cheapest waiting list: post the free slot on your WhatsApp status or in a story with the direct link. Same-day gaps fill surprisingly well.
Frequently asked questions
- Is taking a deposit the only definitive solution?
- It is the strongest one, but it also adds friction for new clients. Start with reminders, confirmation and a cancellation policy; in most salons that halves no-shows or better.
- How many reminders are too many?
- Two is usually the sweet spot: one the day before and one a few hours ahead. More than that starts to feel like spam.
